ADMINISTRATIVE ASSISTANT III Communications & Marketing and Administration Provide professional administrative support to the Chief Communications and Marketing Officer, the Communications and Marketing Division and senior leaders. Provides administrative assistance in the areas of internal and external communication, maintaining schedules, coordinating meetings, preparing travel, record keeping, filing and processing purchase orders and travel claims. Serves as back-up for office coverage in the CareerTech executive administrative area. Duties/Essential Functions: - Establish and maintain an efficient office, including effective filing system of reports, correspondence, documents and other materials. - Provide phone coverage for executive administrators and Communications and Marketing. Routing callers to appropriate staff. Serve as primary back-up for office coverage in executive administration. - Prepare itineraries and coordinate meetings for Communications and Marketing and the Senior Leadership Team. - Log and obtain signatures for agency contracts. - Initiate travel arrangements and follow-up with travel claims. Submits travel claims for Communications and Marketing and other divisions. - Distribute news media releases (local, state, and national); track media coverage, assist in compiling and maintaining marketing presentation materials. Maintain database of media outlets for distribution of news media releases. - Work with staff on marketing projects as required. - Update and maintain email groups, including Communications and Marketing professionals at 29 technology centers. - Prepare e-mailings, mailings, sort and deliver mail. Salary/Benefits: $36,794.52 - $40,768.83 commensurate with education or experience. Requirements
EDUCATION AND EXPERIENCE: REQUIRED: - High school diploma or equivalency - Minimum of four years related experience or an equivalent combination of education and experience. - Skills in Microsoft Office and Excel - Discretion and good judgment in working with sensitive/confidential items. PREFERRED: - Strong oral and written communications skills - Planning, organization skills, teamwork, and customer service skills Position based in Stillwater, OK.
