The Business Services Coordinator reports directly to the President/CEO and is responsible for coordinating administrative functions and ensuring the flow of office information. Exhibiting stewardship for the organization, the Business Services Coordinator professionally represents the Stillwater Chamber of Commerce by serving as support staff of the Chamber. The Business Services Coordinator will also serve as the office receptionist, greeting visitors and members, welcoming and directing them appropriately and facilitating incoming phone calls. The Stillwater Chamber of Commerce is a not-for-profit organization that has a dedicated team environment and offers opportunities to be connected to the business community and area leaders. This position is salaried with benefits including employee health insurance, Simple IRA plan, Life and Long-Term Disability insurance, vacation, holiday, and personal days. The duties and responsibilities described below are the essential functions of the job and are not intended to be all inclusive for this position, and other duties may be assigned. This position will also execute additional duties that may be assigned outside of the original scope of work. · Welcomes and directs visitors by greeting them, in person or on the telephone; answering or referring inquiries. Opens and closes the office each day. · Assist President/CEO with their calendar by helping schedule appointments and with other office duties · Works with Director of Membership to prepare invoices for membership and process member payments. · Works with Vice President to assist with daily/monthly chamber financials. · Respond to all incoming inquiries in a timely manner. · Maintain the phone system by checking messages and ensuring the proper message recording is selected for after-hours phone calls. · Coordinate the reservations of the conference room. · Process daily mail · Maintain office inventory by ordering and stocking office and snack supplies · Other duties as assigned While assigned to specific responsibilities, assists other members of staff whenever the need arises. - Performs various other assignments made by the President/CEO Email cover letter & resume to alane@stillwaterchamber.org
Requirements
· High School diploma or general education degree (GED) required. · Bachelor’s degree from a fully-accredited college or university, or a minimum of 2-4 years of training and work experience in a related field preferred. · The equivalent combination of education and experience may be substituted for the stated minimum qualifications. · Ability to work under pressure and meet deadlines. · Ability to effectively and professionally communicate with staff, members, and the community. · Experience with internet, social media, and various marketing mediums. · Is self-motivated, goal-oriented and can work independently while functioning in a team work environment. · Working knowledge of the programs and services offered by the Stillwater Chamber of Commerce, the City of Stillwater, and the business community. · Attention to detail and must be able to multi-task. · Personable, resourceful, positive and welcoming. · Professional appearance required. Must have and maintain a valid Oklahoma driver’s license, have a reliable vehicle and auto insurance as required by Oklahoma law. Incumbent must also authorize the Stillwater Chamber of Commerce to annually perform and retain a Motor Vehicle Report.
