Administrative Assistant to the Director of Economic Development

Position Title: Administrative Assistant

Department: Economic Development

Reports To: Director of Economic Development

FLSA Status: Non-Exempt

Location: Stillwater Chamber of Commerce

Job Type: Part Time- 25hrs/week

Pay: $13.00-$15.00/Hr

Position Summary:

The Economic Development Administrative Assistant plays a critical role in supporting the Economic Development department. This position is responsible for performing a variety of administrative and clerical tasks to ensure the smooth operation of the department. The ideal candidate is highly detail-oriented, experienced in project data entry, proficient in creating and implementing processes, and thrives in a collaborative team environment.

Key Responsibilities:

Administrative Support:

o Provide administrative support to the Economic Development Director and other team members.

o Manage calendars, schedule meetings, and coordinate travel arrangements.

o Prepare and edit correspondence, reports, presentations, and other documents.

o Maintain and organize electronic and paper files.

Project Data Entry:

o Accurately enter and maintain project data in databases and tracking systems.

o Ensure all data is up-to-date and available for reporting and analysis.

o Assist in preparing and compiling project reports and documentation.

Process Creation and Implementation:

o Assist in developing, documenting, and implementing departmental processes and procedures.

o Monitor and evaluate process effectiveness and suggest improvements.

o Train team members on new processes and ensure compliance.

Team Collaboration:

o Work closely with other team members to ensure the successful execution of projects and initiatives.

o Participate in team meetings and contribute to brainstorming sessions.

o Foster a positive and collaborative team environment.

Other Duties:

o Handle general inquiries and provide information as needed.

o Assist with special projects and perform other related duties as assigned.

Qualifications:

Education and Experience:

o High school diploma or equivalent; Higher Education course work in Business Administration, Economics, or related field preferred.

o Minimum of 2 years of administrative experience

Skills and Abilities:

o Exceptional attention to detail and accuracy.

o Strong data entry skills with the ability to handle large volumes of data.

o Proven experience in creating and implementing processes and procedures.

o Excellent organizational and time management skills.

o Strong written and verbal communication skills.

o Ability to work effectively both independently and as part of a team.

o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

o Experience with database management and project management software is a plus.
